Space Swaps platform takes you through the process of confirming swaps online through our secure and simple site. This covers the essentials and confirms your swap timings and other specifics. It’s up to you and the other host to organise the finer detail such as key pick up, cleaning, and other items. We strongly advise doing this on the platform for security reasons.

How do I message other hosts?
Space Swaps messaging feature allows you to contact other members of the community to arrange swaps. This is done securely on the website.
Every time you contact a member of the community or a member contacts you, Space Swaps creates a conversation and sends you an email notification so you can arrange the details of the exchange. This conversation can be found in your messages.
How does it take to organise a swap?
Swaps can be agreed in a few days before you leave or even up to a year in advance. It’s really up to you.
Do I have to swap the whole property?
Nope. What makes Space Swaps easy is your ability to be flexible about what you want to swap. You can swap an entire house or apartment, but you can just as easily swap a bedroom in a share house (make sure your housemates are okay with this!). This means more flexibility and tailoring for you and your needs.
Do I have to include photos in my profile?
Yes! The most successful listings all have one thing in common – and that’s a great set of photos. A good photo will not only make your space look as amazing as it is but will also generate a lot more interest in your property. Leaving you with more opportunities to swap.
What is the cancellation policy?
Canceling a swap can be very stressful and frustrating for everyone involved. So it is important to cancel a swap only in case of a major problem and discuss it with your guests/hosts to find a solution. It would be best to notify your exchange partner of the possible cancellation as soon as you learn of this possibility so that you and they have enough time to discuss and find the best solution.
In case of improper cancellation of the stay of your future guests, we reserve the right to terminate your account.

Do I need insurance?
With any holiday, it’s always encouraged to get travel insurance before starting your adventure. It’s the same thing with swapping. Talk to your insurer before your trip to take out any extra, should you need it.
Do I need to check with my landlord?
If you are renting it’s always a good idea to talk to your landlord before committing to the swap.
What if there is an emergency?
In case of an emergency at the property, please contact local emergency services and authorities right away.
You should always ensure you have emergency contact details, and the relevant insurance for both yourself and the property. Any external emergency situation will not be Space Swaps responsibility and you should proceed through appropriate channels dependent on any emergency you may have.
What about keys?
There are many ways to swap keys safely and securely.
1. Leave with your neighbours, family or friends
This is the easiest for a swap host and by far the cheapest of all key options (after you factor in the free ‘thank you’ box of chocolates for their efforts!).
Leaving keys with a family member, friend or neighbour works well, however, you must ensure that they arrive at the agreed meeting place on time and are contactable by phone or email for you and your guest.
However, leaving keys with someone does have its downsides. Sometimes (and especially with international home swaps) your guests may be arriving in the early hours of the morning, which may make handing over keys difficult and inconvenient for your neighbour or friend. Also, your neighbour may not always be in so can be an unreliable source.
Relying on a family member, friend or neighbour works well if you home swap once or twice a year, however, any more than that you may want to look at other options.
2. Invest in an outdoor code lockbox
Key boxes allow your guests to access the keys with no one there to hand over to. Lockboxes a very affordable way to handover keys, with a one-ff payment starting from as little as £20. These work by keeping your keys in a secure box with a pin code for your guests to be able to retrieve the keys upon their arrival. When departing, all your guests have to do is put the keys back and safety secure for the next person.
Although affordable, key boxes can be a potential risk for break-ins. For this reason, ensure that guests always securely close the box after leaving and invest in a system that automatically resets the code after your home swap the guest’s stay.
3. Use a key exchange service
With the rise of space swapping, there has been a growth in services helping accommodate hosts and their guests. The right provider for you will depend on the country you are based in and where you live within that country.
Key Nest is a great option and is currently available in every major city in the UK, as well as USA and seven other countries across Europe. You can pay per swap (around $7) or you can pay annually which works out as roughly $19 a month.
What about cleaning after the swap?
1. Let them know what’s included in advance
It’s important to let your guests know what to expect from their swap. We always recommend discussing this as far in advance as possible to give yourself enough time to agree on expectations.
Fresh linen, towels, washing up liquid and detergent are often standard practice. However, added touches such as universal power adapters, tea and coffee, and candles can go a long way in creating a comfortable stay.
If you don’t intend to provide certain items that are often considered essential, do make sure to let your guests know well in advance.
2. Declutter and clean
Before making any other preparations for your home, it’s always a good idea to start by giving your home a good clean and putting away any unnecessary items.
Some members (especially those who are swapping their second or vacation home) choose to use a professional cleaner, but this is a personal preference and should be something to discuss with the members you are home swapping with. Many members simply clean their home before guest arrive by polishing surfaces, tidying living areas, vacuuming carpets and mopping floors
3. Let your guests know what they need to do
Will you have pets staying in the home during their stay? Or maybe you need a garden and household plants needing attending to? Leave clear instructions on what is expected of your guests, as well as where to find items like cat food or plant feed, watering cans etc.
What if the property is not as described?
If the property is not as described when you arrive, make sure to take pictures of the problems and send our Space Swaps Support Team a detailed description of your experience. Please make sure to send all evidence within 7 days of the swap ending.
We encourage all our users to take out appropriate and relevant insurance coverage on their own.
Can I swap if I have pets?
Finding a pet-friendly accommodation when travelling can sometimes feel tedious and difficult. For many pet-owners, the thought of leaving their friends behind while they travel is enough to make you hesitant to travel altogether (especially given the hefty price tag attached). If the thought of travelling without your pet is a no-go, you’ll be happy to hear that there are options available.
One of the best options is to do a space swap. Rather than leaving your pet at home, you can bring them with you on your vacation. Or alternatively, you can travel freely and enjoy knowing that your pet is comfortable at home being cared for by your swap guests.
Space swapping is a great travel option for animal lovers, but there are a few things to consider before travelling:

Having a pet-friendly home is a great selling point for any home swappers looking to travel. However, there are still some factors that need consideration before agreeing to the swap.
1. What kind of pets will be staying
The requirement of a swapper with a pet will vary greatly according to the type of pet it is. What kind of pet will be staying, and how many? And if it’s a dog, what kind of dog? If you’re living in a cosy city apartment and your guests are arriving with a great Dane you’re going to want to make sure there’s enough room for the pet to be happy.
2. Who will be looking after your pets
If your home is pet-friendly, then it’s more than likely that you have some pets yourself. Be sure to confirm with your host whether there will be other animals in the home and whether they’re pets will be comfortable around yours.
3. Make it clear to other home swappers that you have pets
It’s great for pet owners to know their pets are welcome to stay at yours, however it’s also important to warn others in case of allergies. The best way to do this is include it in your listing description and to also let your guest know during your trip discussion.
Do I move my stuff?
For your peace of mind, it is a good idea to keep your valuables locked away. This can be in a safe, another room, drawer, or in a secret spot in your apartment.
Regarding larger valuables that are not easy to carry, the biggest risk would be that your guests may break them. You can ask your guests beforehand to avoid touching or using them, or you could even leave a “Do not touch” note or cover them with a blanket.
Finally, the best way to protect your valuables is to choose your guests wisely:
- Take all the time you need to get to know the people who would like to stay at your place as you exchange messages through the platform.
- Give priority to verified members.
- Give priority to guests with positive reviews.
- Give priority to guests that have a similar lifestyle to you.
I am not receiving an answer from the host?
If you are not receiving any answers from the members you have contacted, it could be that:
– The member you have contacted hasn’t been online since the last time you messaged him/her.
– The member is still deciding whether to accept or reject another exchange and will answer your proposal once he/she has made a decision.
– The member is not interested in your proposed exchange.
To increase your chances of receiving an answer you can contact only people with a response rate of 80% or higher. Our Space Swaps team always sends a reminder to all the members that haven’t replied to their received messages.
